In January, truck drivers should make sure they have the following key documents ready to meet legal requirements.
A new year has arrived, and what better way to begin it than on the right foot. The trucking industry is governed by strict regulations that every driver must comply with, including having the key documentation required to meet legal standards. These documents ensure that every truck driver can operate safely and in accordance with the guidelines established by land transportation safety authorities.
January presents itself as a blank slate; therefore, let’s avoid repeating last year’s mistakes and start by informing ourselves about the documents needed to make a safe trip in 2026. Below, we present some of the essential documents, records, and permits that every truck driver must have to start the year in the best possible way.
Essential documents for 2026
Throughout the year, truck drivers require documentation that ensures each trip runs smoothly and complies with regulations. Although inspections typically begin midway through the year, drivers must have their paperwork in order from the very first day. In January, truck drivers should make sure they have the following key documents ready to meet legal requirements:
Commercial Driver’s License (CDL)
The primary requirement is a Commercial Driver’s License. Any commercial vehicle driver, especially truck drivers, must have this document if they plan to drive at any time during the year. In 2025, non-domiciled CDLs caused a stir in the industry, so it is important to ensure that your license meets all the requirements requested by safety agencies, and don’t forget to carry it with you on every trip.
IRP cab card
The IRP Cab Card is an essential document for commercial vehicles operating under the International Registration Plan (IRP). This document serves as proof of registration and compliance, allowing vehicles to legally operate across multiple jurisdictions.
The IRP Cab Card demonstrates that a vehicle is properly registered to travel through different U.S. states or Canadian provinces. It is required for any vehicle with three or more axles, or those that operate across state lines.
IFTA license
The IFTA license is required to report and pay fuel taxes across multiple states. Its most recent renewal had to be submitted by December 31, 2025, so starting the year with an invalid IFTA license could result in fines.
Any commercial vehicle that meets the following criteria must register for IFTA:
- Has two or more axles and a gross or registered weight of more than 26,000 pounds.
- Has three or more axles, regardless of weight.
- Transports more than 26,000 pounds of combined weight (vehicle and load).
Proof of insurance
Essential for every driver: an insurance policy. It is necessary to have documentation that proves the truck’s insurance coverage. Since each policy is different, making sure that all documents are current and in order is extremely important within the trucking industry.
DOT inspection certificate
DOT inspection certifications are essential to ensure compliance with safety standards and are mandatory for individuals who conduct inspections, audits, and safety reviews in the transportation sector. These certifications confirm that the truck meets safety regulations, authorizing it to remain on the road.
These documents are fundamental not only to avoid violations, but also to maintain the legality of operations and ensure safety on the highways. Truck drivers should keep these documents organized and easily accessible to ensure regulatory compliance and smooth operations throughout the year.
